5 Common Mistakes in Foundation Grant Management

Managing grant applications is one of the core tasks of any grant-making foundation. Yet even experienced teams keep making the same mistakes. The good news: most of them can be avoided with minimal effort.

1. No Standardized Intake

When applications arrive through different channels – email, mail, phone – there is no central overview. This leads to applications being overlooked or processed twice. A standardized intake process, ideally through an online form, creates clarity and saves time during the initial review.

2. Missing Decision Documentation

Decisions are often recorded only in meeting minutes, without a direct link to the application. When an audit or inquiry comes up, the context is missing. Better approach: each application has its own case file where all steps – from initial review to decision – are documented.

3. Unclear Responsibilities

Who reviews the application? Who prepares the decision brief? When roles are not clearly defined, tasks are either left undone or duplicated. A structured workflow with clear responsibilities helps avoid bottlenecks and ensures smooth processing.

4. No Deadline Oversight

Without a centralized system, it is difficult to keep track of deadlines – both for processing applications and for meeting dates. A dashboard with due dates and status indicators gives the team orientation at all times and prevents last-minute rushes.

5. Knowledge Dependency on Individuals

Often, knowledge about ongoing applications and processes resides with a single person. If that person is absent, the entire operation stalls. A documented, digital process makes foundations more independent and resilient against staff changes – ensuring continuity regardless of who is on the team.
